Admission requirements

  • Admissions and/or placements to all regular undergraduate programs are processed through the Registrar.
  • Criteria of admissions and enrollments into all graduate and undergraduate programs shall be developed by the academic units concerned in consultation with AEC (Admissions & Enrollment Committee) and approved by ARVP (Academic & Research Vice President)
  • Admission to undergraduate programs shall be based on completion of the secondary education and obtaining the necessary pass mark in University Entrance Examination, and the equivalence established by the Higher Education Commission.
  • Admissions and enrollments to all programs are processed by the University Registrar in consultation with the academic units concerned.
  • Criteria for special admissions to individual programs such as special needs education, shall be developed and recommended by the Academic Commission of the relevant academic unit and endorsed by the AEC and Approved by the ARVP.
  • Admission to graduate programs shall be based on academic results and merits required by the academic units for the program. However, in line with the national priority accorded to the expansion of higher education, the University in admitting students to most of its graduate programs shall give priority to candidates from public higher education institutions. Accordingly, in the current of this national priority, the University shall plan, negotiate and decide upon the admission of students to its graduate programs jointly with the Higher education commission.

Special admission to full-time programs

  • Special admission to some programs may be granted to potentially resourceful candidates on the basis of detailed guidelines to be issued by the AEC.
  • Unless an applicant is admitted to a graduate program pursuant to special admission criteria set by the AEC, he/she shall have proof of demonstrable achievement in his/her career and successfully pass the entrance examination administered by the relevant academic unit.
  • An applicant is said to have met the special requirements of the academic unit he/she is applying to where he fulfills requirements approved by the relevant body of the University and this is communicated to the Registrar’s office before the receipt of applications or such applicant has a transcript with a CGPA of 2.50 from an accredited institution of higher learning in the relevant or related field of study.
  • A student admitted to an undergraduate program on advanced standing basis shall stay for a minimum of four semesters as regular student in the program to which he has been admitted before he is awarded with a Degree.  Exception to this rule shall be approved by the ASCRC.
  • An applicant who successfully completed course(s) designed to meet certain defined achievement level in a graduate program or received postgraduate diplomas or MPhil Degree from an accredited institution of higher learning may apply for advanced standing admission. Upon admission of such student, the relevant AC shall determine the courses from which the student is to be exempted. In considering such exemption, the AC shall seek consultation from the relevant supervisor. Notwithstanding the possibility of course exemption (s), the student admitted on advanced standing basis shall stay for a minimum of one-half of the duration of the program, taking the required full load in such period, to which he has been admitted in order for a Degree to be granted. The AEC shall work out detailed requirements regarding advanced standing admission in graduate programs and seek the Senate approval thereof.

 

  Re-admissions

  • Without prejudice to the provisions of this article, all readmissions shall be processed in accordance with the procedures to be laid down by the AEC.
  • Readmission of students with better academic standard
  • A student who, for reasons beyond his control, discontinues his studies after having stayed for a minimum of one semester in a program may apply for re-admission into the same program for any number of times provided that the maximum duration of stay in the program, counted from the date of first enrolment, has not expired or will not have expired before completion of the program following re-admission. In case when a student is not readmitted due to the University’s intake capacity the expiry date shall not apply;
  • Notwithstanding the provisions of sub-article 46.2 (a) hereof, readmission of students in good standing is subject to availability of space and facilities;
  • In those cases where there had been curricular changes in a program, the Department may require the readmitted student to take new courses that have been replaced those he had taken;
  • Upon readmission of a student in good standing, the Department/College shall supply him with a list of courses from which he will be exempted and of new courses substituting phased-out courses which he will have to take;
  • Notwithstanding the provisions of sub-article 46.2 (a) hereof, a student who, for medical reasons, withdraws from the University without completing the minimum of a semester stay may be considered for readmission.
  • Readmission of academically dismissed students
  • A student may be allowed readmission after dismissal provided all of the following are fulfilled:
  • The dismissal was not due to repeated acts of violation of examination regulations;
  • The student applies for readmission at least after one semester following his withdrawal from the University;
  •  Space is available in the program and there exists likelihood that he will raise his grade point to the required level within one semester after readmission;
  • The maximum duration of stay in the program has not expired or is not likely to expire before the completion of the remaining courses of study;
  • If a dismissed student who is readmitted and allowed to repeat a course or courses in a given semester does not attain good academic standing upon determination of status, he shall be dismissed for good;

Readmission After Dismissal

  • A student who has been dismissed for good due to academic deficiencies may not seek readmission into the program from which he/she has been dismissed.
  • A student whose academic status is dismissed but allowed to repeat deficient courses may be readmitted at least after one semester following withdrawal from the University.  Such student shall be readmitted in a semester when there are more courses the student is eligible to register for.
  • A student may be allowed to raise his grade points to the required level provided he can remove such academic deficiencies in not more than one year and the maximum duration of stay in the program has not expired or is not likely to expire before the completion of the remaining courses of study.
  • A first year student dismissed at the end of the second semester with a CGPA of not less than 1.5shall be readmitted.
  • A second year and above student dismissed at any semester with a CGPA of not less than 1.5 shall be readmitted.
  •  Any readmitted student may be allowed to repeat courses in which the student scored “1 (D)” or “0 (F)” with the approval of the student’s Academic Advisor/Head of academic unit.

 Choice of Program of Study

  • Students will be enrolled into the programs of their choice on competitive bases that take into account their grade as a measure.
  • Special provisions shall be made for female students, students with disability and other socially disadvantaged groups that require affirmative action.

 

Transfer of Students

  • The applicant should have attended at least one semester in his original institution. And shall meet the minimum credit hours required per semester of the admitting institution at the time request for transfer and CGPA not less than two.
  • The official transcript of the transfer student should be sent directly to the University of Hargeisa Registrar office in sealed envelope by his previous institution, transcript by the hands of the students shall not be considered as an official transcript.
  • The Registrar’s office shall request Colleges, Departments, Schools or Centers, Institutes for the available space in all years of study for accommodating students to be transferred and compile the intake capacity of every Department.
  • A student wishing to be transferred shall be required to fill a standard Transfer Application Form which shall be made available at the Registrar Office and which he shall collect upon payment of appropriate fee.
  • The Transfer Application Form must be completed and returned to the Registrar’s Office in the registration week for the semester during which enrolment is sought.
  • The Registrar’s Office shall communicate such decision to the student requesting transfer and to the academic unit to which transfer is requested. The decision shall be copied to the Office of the ARVP.
  • Criteria for inter-academic unit and intra-academic unit transfer shall be worked out by AEC.
  • Transfer may not have the consequence of elongating the stay of a student in a program for more than a year.
  • The transfer of students in regular programs from other public/Private universities or Colleges to the University within the same program may be accepted on justifiable grounds. In special circumstances, transfer of students from other universities shall be decided by the President or the ARVP.
